Warsaw residence-permit filings now 100 % online via MOS v2.0
Foreign professionals relocating to Poland’s capital no longer need to battle for scarce in-person appointments: since 27 April 2026 all temporary, permanent and long-term-EU residence-permit applications in Mazovia must be lodged electronically through the government’s MOS v2.0 platform. A comprehensive practice note updated on 18 October confirms that the infamous inPOL “slot hunt” has been abolished. Applicants create a MOS account, fill out the interactive form, upload scans and e-sign the file with a Trusted Profile (Profil Zaufany) or qualified e-signature. The system issues a receipt (UPO) and an electronic certificate of legal stay, replacing the old ink stamp in the passport. The only physical visit that remains is a biometrics appointment, the date for which is assigned by the Mazovian Voivode and delivered via the e-Delivery (e-Doręczenia) service at least seven days in advance. For employers the change means faster filing, but also higher compliance stakes: incomplete digital dossiers are automatically rejected, resetting seniority-based pathways to the EU Blue Card or permanent residence. HR teams should ensure that company signatories have activated a Trusted Profile so they can e-sign Annex 1 within MOS; without it, applications stall for weeks. Legal advisers report a 20 % drop in so-called “ghost queues”, yet warn that overall processing times remain lengthy— eight to fourteen months to decision— so global mobility planners should file renewal cases no later than six months before card expiry. The digital shift aligns Warsaw with EU-wide trends toward paperless immigration, and is expected to roll out to other voivodeships in 2027. Expatriates already holding appointments booked under the legacy system are being migrated into MOS automatically and will receive new electronic summonses.
