A notice on the department’s ‘System Maintenance' page warned that anyone whose visa expired on 25 September needed to lodge a new application before the shutdown or risk becoming unlawful. Migration agents say the timing—at the end of the working week—forced last-minute scrambling, with some clients submitting incomplete applications to secure bridging visas. While the department routinely publishes maintenance windows, critics argue that posting critical information in buried web pages fails to meet transparency standards expected of a digital-first visa system. For corporate mobility teams, the incident underscores the vulnerability of just-in-time lodgements. Best practice is to finalise submissions at least 48 hours before expiry and to monitor the Home Affairs maintenance schedule, which is not automatically emailed to users. The outage also interrupted Visa Entitlement Verification Online (VEVO), leaving employers temporarily unable to confirm work-rights status for new hires. Companies relying on real-time checks should maintain scanned visa grants and passports on file to meet Fair Work obligations during system downtime. With Home Affairs accelerating its shift to paperless processing, industry bodies want a proactive alert system—such as SMS or email—to notify account holders of future outages.
